There are ways to have a ready-made source of people who have the skills, knowledge and attributes for a job so you can save time and costs when a future vacancy arises.

  • explored whether there are people you could consider from previous selection processes in your agency or the sector
  • decided whether to establish a pool of people for the position.

Actions

Draw from a previous selection process:

  • You can consider people found suitable in a selection process for a similar job run by any public sector agency, including yours. This can be via a pool recruitment activity or simply any people found suitable but not placed in a role. 
  • If you are interested in appointing this way, first check the employment terms are in line with the vacancy. For example, if the vacancy is for 6 months, check if the previous recruitment process included temporary opportunities for this term.
  • If the terms are aligned, you can:
    • approach and meet any suitable candidates after obtaining their consent to discuss the vacancy
    • contact referees of the suitable candidates
    • appoint the candidate if you find them suitable.

Create a new pipeline source of people:

  • When recruiting, consider the potential of using candidates for future employment opportunities in the next few months.
  • By drawing an applicant from an appointment pool for the same or similar positions over a specified period of time. Commissioner's Instruction No. 2: Filling a public sector vacancy outlines various other advertising methods.
  • By describing how suitable people could be employed in your advertisement, including the term of any pool, in other agencies.
